Wedding Planning Checklist

Preparing for your Final Venue meeting

Wedding Planning Checklist & Final Venue Meeting

Around six to twelve weeks before your wedding day, your venue will usually invite you to complete your wedding planning checklist and attend a final planning meeting. Depending on where you live and your venue’s way of working, this might take place in person or online.

By this stage, life often feels particularly busy. Invitations have been sent, outfits are sorted, suppliers are booked, and your wedding day suddenly feels very real. Finding time for one more appointment can seem like just another thing to fit into an already full diary. But this meeting is far more than another box on your wedding planning checklist.

It’s your opportunity to sit down with the team who’ll be looking after you on the day, walk through every part of your wedding guide together, and make sure everyone is on the same page.

Why have a final planning meeting?

For many couples, most of the contact with their venue between booking and the wedding day happens by email. A final planning meeting gives you the chance to reconnect with the people who’ll be there on one of the biggest days of your life.

It allows everyone to make sure that your wedding preparations reflect what you want, answer any last-minute questions and make sure nothing has been overlooked.

Just as importantly, it gives you confidence. Knowing that your venue team have carefully thought through every part of the process means you can begin to let go of any planning worries and focus on looking forward to getting married. Even couples who feel completely organised often end their final meeting saying, “I’m so glad we talked that through.”

Walking through your wedding timeline from beginning to end almost always brings up little details you hadn’t thought about that aren’t necessarily on your checklist. Those tiny details are often the things that make the day flow effortlessly.

Wedding Planning Tasks

Most venues will send you a wedding planning checklist before your appointment, asking you to make key decisions in advance. The more information you provide beforehand, the more useful your final planning meeting will be.

If you’re struggling with any decisions, don’t leave them until the meeting itself. Get in touch with your venue beforehand. That’s exactly what your wedding coordinator is there for.

Remember, the questions your venue asks aren’t solely for administrative purposes. Every piece of information on your wedding planning checklist helps them create the best possible experience for you and your guests.

Let’s look at some of the topics you’re likely to discuss…

Wedding Guest Planning Essentials

As a full-time wedding planning team, experience has taught us that your guests probably won’t remember the colour of your napkins, but they’ll always remember how your wedding made them feel! Guest numbers are important for practical reasons, but understanding the people attending your wedding is just as valuable.

Knowing whether someone needs accessible parking, has dietary requirements, or whether a toddler needs a highchair can make a huge difference to their experience. Because we specialise in smaller weddings, we get to know our couples and their families. Something as simple as remembering that Grandma would love a cup of tea after the ceremony, or having a picnic bag ready for a little one, helps everyone feel genuinely looked after.

These thoughtful touches rarely happen by accident. They happen because they’ve been discussed in advance at the final planning meeting.

Top tip: If your venue provides a Guest Information Pack, send it to everyone well before the wedding. Guests always enjoy the day more when they know exactly what to expect before they arrive. Tick off that box on your wedding planning checklist!

Transport & arrival planning Tips

How guests arrive can have a surprisingly big impact on how smoothly your wedding day begins. Every venue is different, so it’s worth talking through parking, transport and arrival times.

At Cote How, for example, we’re tucked away at the end of a single-track lane in the heart of the Lake District National Park. It makes for a wonderfully peaceful setting, but it also means very limited parking and coaches aren’t suitable.

The final planning meeting is the perfect time to confirm that everyone will arrive where they need to be, when they need to be there, so your wedding timeline can unfold seamlessly. Logistics are a key part of preparing for your wedding day, which can be overlooked.

Confirm Your wedding suppliers

Wedding photographers, florists, stylists and caterers all play an important role in your wedding day. Your venue often becomes the link that brings everyone together.

At Cote How, we work closely with a trusted group of local suppliers who know the venue well. By referring to your wedding planning timeline during your final meeting, we make sure everyone’s timings and schedules work together, helping the whole day run smoothly.

For larger weddings, this can also be a good opportunity for new (and approved) suppliers to visit the venue, meet the team and discuss any practical arrangements before the wedding day itself. When everyone is working from the same plan, you can relax knowing nothing has been left to chance.

Wedding Menu to-do list

If you’re enjoying a wedding breakfast, your final planning meeting is usually when the finer details of your menu come together. At Cote How, our day wedding couples follow three simple planning steps:

  • Ask each guest to choose from your selected starter, main course and dessert options.
  • Complete your online seating plan, adding everyone’s menu choices.
  • Bring everything together (canapes/cake flavour/wine choices, etc.) before your final planning meeting so we can check every detail.

It’s also important to collect dietary requirements and allergy information well in advance, including children’s meals if required.

Top tip: Don’t forget your photographer! If they’re staying through the wedding breakfast, they’ll usually appreciate a supplier meal too.

Choosing your menu choices (or delicious canapes shown here) is a key part of your wedding planning checklist

Preparing Your Wedding Music

Music has a wonderful way of capturing emotion. Whether it’s the song that plays as you walk down the aisle, your exit music or your first dance, these are often the moments you remember for years afterwards.

We ask our couples to share their ceremony playlist in the music section of their checklist before the final plan so we can confirm the correct order and format when we meet. All music playlists are uploaded to the checklist no later than 4 weeks before the wedding day.

Top tip: If you’re planning a (venue-approved) live musician for your aisle entrance, your final planning meeting is the perfect time to talk through practicalities. But… if you’re planning a surprise entrance song for your partner, arrange a separate chat with the team so you can both be present for the final plan!

Wedding Planning Details

Finally, it’s time to talk about all those little details that go beyond your wedding planning checklist to bring your wedding together. For example:

  • Who will bring confetti, favours, place cards or guest books?
  • Who is looking after your dog if they’re joining part of your wedding day?
  • Are you including readings or personal vows, and who is in your aisle party?
  • Where would you like your first dance, or are there any speeches?
  • What happens if the weather isn’t kind and we need a plan ‘B’?

None of these details is too small. In fact, they’re often the small planning steps that make the biggest difference to how relaxed your day feels and how seamlessly it flows.

Running through your checklist at your final planning meeting keeps the timeline on track, just like this groom checking his watch to see if he is on schedule!

Final wedding preparations

Your final planning meeting isn’t just about confirming information. It’s about handing over the planning process. Once you’ve talked everything through and your wedding planning checklist is complete, you should be able to take a deep breath, knowing that your venue team understands your plans and is ready to bring them to life.

And if something changes after your meeting, don’t worry. Life happens. Guests become unwell, travel plans change, and unexpected things crop up. The sooner you let your venue know, the easier it is to adapt final preparations. After all, a problem shared really is a problem halved, and your wedding team would much rather help you solve a small problem before the wedding day than discover it on the morning itself.

By the time your final planning meeting is over, you’ll feel confident that all the details are in hand. You can relax and look forward to one of the happiest days of your life. Happy planning!
